Minutes of the Annual General Meeting (AGM)

The Annual General Meeting of the Borough of Harrow Swimming Club (BHSC) was held on 7th December 2023 at Harrow Leisure Centre. The meeting commenced at 7:30 PM.

Agenda

1. Approval of Notice of Meeting
   The notice of the meeting was approved unanimously.
2. Apologies for Absence
   Apologies were received from:
   • Dominique
   • Kiru
3. Minutes of Previous AGM and Matters Arising
   The minutes of the previous AGM were accepted with no matters arising.

4. Committee Reports

• CHAIR REPORT
  Presented by Suzette. The Chair outlined the club’s achievements over the past year, highlighting the challenges and successes the club has experienced. Suzette thanked the committee members, coaches, volunteers, and parents for their dedication and commitment throughout the year.
• HEAD-COACH REPORT
  Presented by Daniel. The Head Coach reviewed the swimming performance of the club members, noting improvements, successes in competitions, and the progress of the development squads. Daniel also discussed the strategic plans for the upcoming year to enhance training and competitive performance.
• TREASURER REPORT
  Presented by Zak. The Treasurer provided an overview of the club’s financial performance over the past year. Zak reported on the current financial standing, expenditure, income from memberships, and fundraising efforts. The report emphasized the need for continued financial prudence while supporting the club’s growth and activities.
• CLUB CONSTITUTION 
  Presented by Zak. The club’s constitution was reviewed and updated, with the changes approved unanimously by the committee.

5. Election of Officials

The following appointments were unanimously approved by the members present:

• Chairperson: Suzette
• Treasurer (SwimMark): Zak
• Secretary: Sanjiv
• Volunteer Coordinator: Kiru
• Deputy Volunteer Coordinator: Chris Roberts
• Internal Galas Secretary: Dominique
• External Galas Secretary: Emma
• Welfare Officer: Cathy Garner

6. Appointment of Auditors

The members present unanimously approved the appointment of Newmans as the independent examiner of the club’s accounts.

7. Election of Life and Honorary Members

The following individual was elected as an honorary member:

• Tasha Coupland

8. Any Other Business

• Awards Night:
  The Awards Night was confirmed to be held on 13th January 2024. This event will recognize the achievements of swimmers as well as the contributions of volunteers and staff members.
• Recognition of Volunteers:
  The committee discussed the importance of recognizing the hard work and commitment of volunteers. Chris Roberts was appointed as the Deputy Volunteer Coordinator, joining Kiru to strengthen the volunteer team. Additionally, Emma Soteriou was appointed as Deputy Gala Secretary, working alongside Dominique to support gala events.
• Club Participation at BHSC Galas:
  Concerns were raised about the declining number of clubs participating in BHSC galas. A discussion ensued on ways to attract more local clubs, such as Watford and Bushey, to participate in future galas. Strategies to enhance communication and outreach were considered.

Closing Remarks

The AGM lasted approximately 60 minutes and took place in a relaxed and positive atmosphere. The Chairperson thanked all attendees for their participation and contributions, and the meeting was adjourned at 8:30 PM.
